This guide requires a user with Restricted Editor, Site Editor, or Group Moderator role. If you don't have one of these roles you will NOT be able to access the features described.


The Email Maker is designed to help you create branded email templates from your events. It provides a user-friendly interface to preview and copy email formatted contents. This tool is ideal for event organizers who need to send out professional-looking emails quickly and easily without having to recreate existing content.



Quick Start

  1. Publish the Event.
  2. Copy formatted content from “Email Maker” tab.
  3. Paste in Outlook using the Keep Source Formatting option.

  4. Review & Test

  5. Send!



Detailed Usage Guide

To access the Email Maker, follow these steps:

  1. Navigate to the Event.

  2. Make sure the event is Published.
    You will NOT be able to copy the email if it has not been reviewed, approved, and published.

  3. Click the Email Maker tab, at the top.
    If you don't see it, then you may not have permission to Edit that event.
  4. Review to confirm the content looks as expected.
    • It's best to keep your email clear and concise.
    • Avoid sending long emails that may end up being perceived as spam.

  5. Copy
    • For Outlook, use the Copy Contents button.
    • For advanced providers, use the Copy Raw HTML button.

  6. Paste
    • For Outlook:
      1. Start a new message
      2. Erase all contents in the body, e.g., if your signature is added automatically, delete it.
      3. From the Toolbar, look for Paste Options (this may be hidden under an ellipsis on the far right of the toolbar).
        IMPORTANT: Select Keep Source Formatting
      4. Add a subject
    • For advanced providers (like Staffbase or MailChimp), look for an option to edit HTML or Source Code and paste the contents there.

  7. Always Test!
    The design can be affected by email clients and we recommend testing your message with your own email address, a colleague's, or a even personal address before sending it out.

  8. Send to your desired recipients.



Limitations and Known Issues 

  • Due to email application limitations, not all event content elements are available. Items that are not supported, such as accordions or embedded media players, are automatically omitted.
  • Small visual discrepancies may appear depending on the email client you use, such as spacing shifts and changes in font size or weight. Unfortunately, we can't guarantee pixel-perfect emails across platforms. Nonetheless, if you see any drastic changes, let us know.


Requirements

Edit Access to the Email

First and foremost, you must be able to edit the event. If you're not the owner or don't have access to modify an event, you won't be able to access the Email Maker tab.


Role

The Email Maker requires a role equal to or higher than:

  • Restricted Editors
  • Site Editors
  • Group Moderators


Published Event

Events MUST be published before they're shared. If the event has not yet been reviewed and approved, you will only be able to preview the email layout. Ensure your event is published and accessible.
